About the Role
As our Virtual Assistant supporting construction operations, you will work directly with Chris Mousley, Managing Member. Your work will help keep project information accurate, outstanding items visible, and follow-up moving without repeated reminders. Frequent outbound phone calls are a central part of this position. You will contact clients, leads, trade partners, vendors, and permitting contacts to gather information, confirm next steps, and follow up on outstanding items.
You will begin with defined, recurring administrative responsibilities and take on additional work as you demonstrate accuracy and learn the company's processes. Technical decisions, pricing, contracts, and company commitments remain with the owner.
Key Responsibilities
- Maintain assigned JobTread contacts, tasks, selections, and project records using established templates and workflows.
- Organize plans, proposals, correspondence, and supporting documents, clearly distinguishing current and superseded versions.
- Turn meeting recordings, transcripts, and notes into concise recaps, confirmed decisions, and actionable task lists.
- Draft professional emails, client updates, and internal notes for review.
- Make frequent outbound calls to follow up on decisions, documents, bid responses, and project status.
- Record call outcomes, commitments, follow-up dates, and unresolved questions in JobTread.
- Coordinate appointments, prepare meeting information, and support the owner's inbox and calendar.
- Support authorized bid requests, selection tracking, permit correspondence, and lead records.
- Provide clear summaries of completed work, pending approvals, and blockers that need the owner's attention.
Required Qualifications
- Administrative or operations experience managing multiple assignments with dependable follow-through.
- Clear, fluent spoken and written English for phone conversations, correspondence, and accurate notes.
- Experience making frequent outbound calls, leaving professional voicemails, and following up courteously.
- Accurate data entry and careful handling of dates, documents, files, and confidential information.
- Comfort using Outlook, Word, Excel, and shared files, with the ability to learn JobTread.
- Judgment to recognize incomplete information and decisions requiring the owner's input.
- Reliable internet, a suitable computer and headset, and a quiet workspace for calls.
- Availability during the agreed Mountain Time calling window.
- Candidates must have their own reliable remote work setup, including a computer, stable internet connection, and a quiet, dedicated workspace to consistently perform their responsibilities.
Preferred Qualifications
- Construction administration experience.
- JobTread experience.
- Spanish proficiency, especially for communication with trade partners.
- Familiarity with trade proposals, selections, permits, or QuickBooks Desktop.
Pay and Benefits
- Full-time, Independent contractor role.
- Pay range: $10 - $12 depending on experience
- Additional benefits after trial period.
